Integration guide
Google Calendar integration guide for clinics
Connect the practice calendar and, separately, a practitioner’s busy calendar. Learn what MedOS writes, what it reads and how imported changes are handled.
What the Google Calendar integration does
MedOS offers two optional Google Calendar connections. The workspace connection publishes appointments made in MedOS to a dedicated calendar on the clinic’s Google account. A practitioner can separately select one of their calendars for read-only busy-event import, so those events can block appointment availability.
These connections have different purposes and access. The workspace connection writes to the calendar MedOS creates; the practitioner connection reads only the selected calendar and does not modify it.
Before you start
- A MedOS workspace and an administrator who can manage integrations.
- Access to the Google account the clinic wants to connect.
- Each practitioner needs access to their own Google account if they want personal busy events to affect their MedOS availability.
Connect the workspace calendar
- In MedOS, open Workspace Settings → Integrations and choose Google Calendar.
- Choose Connect and sign in to the Google account the clinic intends to use.
- Review and approve the requested Google access. MedOS creates a dedicated calendar on that account for MedOS appointments.
- Review the patient-invite option. Patient name and email are included on calendar invitations only when the workspace enables that option.
- Create a test appointment and confirm that its event appears on the MedOS calendar in Google.
The workspace connection only sees and modifies the dedicated calendar created by MedOS. It does not read the account’s other calendars.
Connect a practitioner calendar
- Have the practitioner open their Google Calendar connection in MedOS settings.
- Connect their Google account and select the single calendar whose busy events should block availability.
- Check that a known busy event appears in the practitioner’s MedOS schedule and that an available slot is no longer offered at that time.
Practitioner calendar access is read-only. Changes to imported events are presented for review; MedOS does not move a clinic appointment automatically because a personal calendar event changed.
What happens to appointments and calendar events
- Appointments made in MedOS are written to the workspace calendar. Rescheduling updates the event and cancelling removes it.
- Busy events from the selected practitioner calendar can block booking availability.
- Changes or removals to imported practitioner events are surfaced for review.
- Google Calendar connections are optional; the clinic can continue using MedOS without connecting them.
Troubleshooting
- If no event appears, confirm the workspace connection is active and check the dedicated MedOS calendar in the connected Google account.
- If a busy time does not block booking, confirm the practitioner connected the intended account and selected the correct calendar.
- If an imported event changed, review the event in MedOS and decide what to do with the clinic appointment.
Disconnecting
Disconnect a workspace or practitioner calendar from the Google Calendar integration area in MedOS settings. Before disconnecting the workspace calendar, review upcoming appointments and existing Google events. If you need to know how previously created events are handled, contact MedOS support before removing the connection.
