MedOS for Zoom
Give every online consultation its own Zoom meeting, hosted on the practitioner’s own account. This guide covers adding the integration, what it does day to day, and how to remove it.
What the integration does
MedOS is practice management software for clinics. When a clinic books an online consultation, MedOS creates a Zoom meeting for that appointment, shows the join details to the practitioner and the front desk, and sends the join link to the patient.
Zoom connects per practitioner, not per clinic. Each practitioner authorises their own Zoom account, and their appointments are hosted on it. This matters because a Zoom account can host only one meeting at a time — giving every practitioner their own host account is what lets two of them consult simultaneously.
Before you start
- A MedOS account, with a role that can take appointments.
- A Zoom account you can sign in to. A licensed account is recommended: Zoom’s 40-minute limit on basic accounts applies to consultations too.
- Your clinic’s video platform set to Zoom in MedOS, under Workspace Settings → Workspace Details. An administrator does this once for the clinic.
Adding the integration
- 1Sign in to MedOS and open Workspace Settings → Integrations.
- 2Select Zoom to open Your Zoom connection.
- 3Select Connect. MedOS sends you to Zoom to sign in and review the permissions requested.
- 4Approve the request. Zoom returns you to MedOS, and the page shows the connected Zoom account and when it was connected.
Permissions MedOS asks for
MedOS requests the minimum needed to run a consultation on your behalf:
- Read your user profile — to confirm which Zoom account was connected and show it back to you on the integration page.
- Create, update and delete meetings on your account — to create a meeting when an appointment is booked, move it when the appointment is rescheduled, and delete it when the appointment is cancelled.
MedOS does not read your existing meetings, join meetings, or access recordings, chat, or any other Zoom content. It only manages the meetings it creates for MedOS appointments.
Using the integration
When an appointment is booked
Booking an online appointment for a connected practitioner creates a Zoom meeting on that practitioner’s account, scheduled for the appointment time. The patient is sent the join link on WhatsApp, and the meeting ID and passcode appear alongside the appointment in MedOS so the front desk can read them out if needed.
The link takes a moment to appear after booking. Until it does, MedOS shows that it is still being generated rather than offering a link that does not work yet.
Joining the consultation
Practitioners select Join Nowfrom the appointment, which opens the MedOS consultation screen with the Zoom meeting alongside the patient’s notes and prescription. Patients join from the link they were sent.
Rescheduling and cancelling
Rescheduling an appointment moves the Zoom meeting to the new time; the existing link stays valid. Cancelling an appointment deletes the meeting, so the link stops working and nobody can join a consultation that is no longer happening.
Discovery calls
Clinics that offer introductory calls to prospective patients can nominate one Zoom account to host them, since those calls are not assigned to a particular practitioner when they are booked. An administrator sets this under Workspace Settings → Discovery Calls.
Removing the integration
Removal has two halves. Disconnecting inside MedOS stops MedOS using your Zoom account; revoking in Zoom withdraws the authorisation itself. Do both to remove the integration completely.
1. Disconnect in MedOS
- 1Open Workspace Settings → Integrations → Zoom.
- 2Select Disconnect. MedOS deletes its stored access to your Zoom account and stops creating meetings on it.
2. Revoke access in Zoom
- 1Sign in at
zoom.usand open Settings → Installed Apps, or visit the Zoom App Marketplace and open Manage → Added Apps. - 2Find MedOS in the list and select Remove.
Troubleshooting
The wrong Zoom account was connected
Disconnect in MedOS, sign out of Zoom in your browser, then connect again and sign in with the account you want.
A patient says the link does not work
Check the appointment in MedOS. If it was cancelled, the meeting was deleted and the old link is expected to fail — rebooking issues a new one. If the appointment is still active, the meeting ID and passcode shown in MedOS can be used to join directly.
No link was generated
Confirm the practitioner has connected their Zoom account on the integration page, and that the clinic’s video platform is set to Zoom. An appointment booked for a practitioner who has not connected cannot be given a meeting.
