WhatsApp reminders

Appointment reminders and recalls on WhatsApp, with every message on the record.

Reminder rules decide what goes out and when. Every message, automatic or sent by hand, lands in one WhatsApp thread on the patient’s record.

Missed appointments are usually forgotten appointments. In MedOS a clinic sets reminder rules once: how many minutes or hours before a visit to remind the patient, on WhatsApp, email or both, with the template and wording the clinic chooses. Staff can preview a message with the patient’s real details before it is used. Reminders are scheduled as the booking is made, and cancelled with it.

Recalls work the same way. When a visit is marked completed, a recall rule can queue a nudge for a set number of days later. When the time comes MedOS checks again, and sends nothing if the patient has already booked. Patients who reply STOP on the clinic’s connected number are opted out of reminders at that clinic; START opts them back in.

Each patient has one WhatsApp thread. Staff can reply from it: free text inside Meta’s 24-hour window after the patient’s last message, and an approved template outside it. A reminder sent by hand is written to the patient’s Reminders tab, next to the automatic ones, with sent, delivered and read times.
